How we calculate the savings
  • Document hours today = documents per day × 21.7 working days a month × average minutes per document ÷ 60. These are the hours of the whole back-office team, not of a single person: one FTE works about 143 hours a month, so 400 hours is roughly 2.8 people working full-time. The average minutes derive from the document mix you selected (from ~6 min for a DDT to ~15 min for HS codes, values and origins), increased by 7% for every manual step you indicated (manual entry, reconciliations, chasing missing documents…).
  • Hours freed = total hours × an 85% automation share, conservative against the 97% measured on quadra’s customers.
  • Yearly savings = hours freed per month × 12 × hourly cost, where hourly cost = yearly company cost ÷ 1,720 hours worked.
  • FTE equivalents = hours freed per month ÷ 143 monthly hours worked by one FTE.
  • Capacity cap if the estimated saving exceeds the capacity of the team you indicated, the calculation is limited to the team’s actual capacity.
Where the parameters come from

The average handling times per document type are conservative estimates based on operational industry benchmarks: for manual invoice and document processing they reference research by APQC and Ardent Partners (benchmarks on time and cost per invoice in accounts payable). The suggested company cost reflects the typical full cost of an admin employee in Italy according to ISTAT data on wages and labour cost; the yearly hours worked per FTE derive from Eurostat and OECD statistics on hours actually worked. This is an indicative estimate, not a quote: the business case is built on your real flows, in a 30-minute call.
